In our European Headquarters in Burscheid (near Cologne) we are searching you as
Legal Operations Specialist (m/f)
Under the direction of a Senior Counsel - Legal Services, EMEA, the Legal Operations Administrator provides administrative support to the EMEA legal team and corporate legal department in the U.S. This position performs general office duties, support for legal tools and applications, and a wide range of administrative support and work coordination.
Responsibilities:
Corporate & Entity Management Administrative Support
  • Coordinate the signatures of legal documents in accordance with a defined process.
  • Support the execution and formalities of legal documents including arrangements with notaries.
  • Update and maintain a corporate database of entities.
  • Support filing of information in commercial registers across the region.
  • Perform other related duties as required.
Legal Administrative Support
  • Provide administrative support to the EMEA legal team, as requested.
  • Administer EMEA contract approvals and legal department processes, including global coordination with paralegals and legal team members in other regions.
  • Provide data on external legal services and costs to the EMEA legal team, Deputy General Counsel and Legal Controller, as requested.
  • Support management of costs of legal services, including timely handling of invoicing process, in alignment with and support to the Legal Controller.
  • Ensure that administrative procedures are documented and updated as needed and implement process improvements.
  • Assist with special projects.
  • Handle incoming and outgoing mail.
  • Responsible for anticipating and ordering office supplies needed on an ongoing basis, responds to specific requests from department staff.
  • Support and maintain designated technology tools and processes for the provision of legal services.
  • Create, generate, compile and edit reports, presentations and spreadsheets, including an ability to analyse and process multiple sources of data.
  • Arranges and coordinates all aspects of meetings, including travel details, meeting logistics, technology coordination and presentation materials.
  • Process expense reports and manages on-time payment of corporate credit-card bills and other legal department invoices.
  • Assist with new hire set-up, coordination and orientation.
  • Perform other related duties as required.
Qualifications
Skills and Experience and other Attributes:
  • Computer literate, including strong competency in application of Microsoft Office tools (Outlook, Word, Excel, PowerPoint and Visio)
  • Working experience in Business/Administrative environment; familiarity with legal department or law firm administration highly advantageous
  • Fluent spoken and written English and at least one major European language (German preferred; other language ability desired)
  • Familiarity with CounselLink, SharePoint and maintenance of intranet webpages highly advantageous
  • Able to multi-task, prioritize and meet deadlines
  • Attention to detail and high-quality work product
  • Excellent communication and interpersonal skills
  • Organized
  • Problem solving skills
  • Ability to understand large company processes and procedures (experience working in international company desirable)
  • Cultural Awareness
  • Flexibility and desire to contribute when and where needed

  • Demonstrated ability to maintain a high level of confidentiality and handle sensitive information
