Role and Responsibilities
Supply Management – manage the needs of the offices including all contractors/vendors and associated contracts. Oversee and procure:
Office Supplies
Snack/Beverage program
Weekly Team Lunches
Restroom box goodies
Business cards
New Hire and Event Swag
Security keys/badges/fobs
Reception/Visitor Management – happily greet visitors and manage their Chegg experience. Assist employees with coordination of conference room setups, mail and overnight courier shipping and general office administration:
Greeting Visitors
Office tours for visitors
General office administration
Conference room scheduling
Assisting and coordination of guests - visitor seat setup, travel, hotel, transportation, meals
Office Consistency/Office Events:
Coordination with all global sites to ensure best in class office standards and consistency
Plan and execute office events to enhance employee engagement and create fun office culture
Encourage new employee integration
Plan celebrations, outings, team building activities, etc.
Building Management:Overseeing the building systems including:
Air conditioning
End of day office straightening, closing windows, ensuring doors are locked
Assist with IT equipment setup for new hires, troubleshoot minor IT issues and work with IT team and infrastructure
Manage office construction, furniture purchases and overseeing new office projects
Tracking Budget Expenses – ensure office needs are within budget allowances:
Assisting HR and Managing Director with accounting preparation (POs, cost centers, account codes, purpose, research invoices)
Assist with identifying lower cost items and services
Scheduling and coordinating interviews assisting HR and Recruiting Team:
Assist HR and recruiting team with scheduling, coordinating phone and on-site interviews for internal/external candidates and interview panels
Manage candidate travel logistics during the interview process
Position Requirements:
College Degree preferred
3-5 years Office Management experience
Good disposition, friendly manner
Excellent communication skills – both verbal and written
Well organized and able to handle multi-tasking in a busy environment
Dependable, able to work early and late hours when needed from time to time. About Chegg:
